When to Call the Airline Instead of Checking an App
By The Flight Tracker Team · October 22, 2026
A flight status app is an information tool. It tells you what is happening. It cannot change anything, commit the airline to anything, or hold a seat for you.
The rule is simple: if the next step involves a decision, a cost, or an entitlement, you need the airline. If you just need to know what is happening, an app is faster. Getting this wrong costs people money and missed connections every day, because they spend the crucial 40 minutes refreshing a screen instead of joining a queue.
Situations where any tracking app is the wrong tool
Rebooking
No third-party app can rebook you. Seat inventory, fare rules, and rebooking authority live inside the airline’s own systems. When a flight is cancelled, seats on the alternatives are consumed within minutes, and the people who get them are the ones already talking to the airline.
Do all of these at once: get in the desk queue, call the airline’s number, and open the airline’s own app. Whichever responds first wins. Do not wait for confirmation to appear in a status app — it never will, because rebooking is a change to your booking, not to the flight.
A connection at risk
An app can tell you your inbound is 55 minutes late and your connection is in 65 minutes. It cannot tell you whether the airline intends to hold the departure, whether they have already moved you to a later flight, or whether the transfer is physically achievable in that terminal.
Ask the crew on board, or call while you are still in the air if you have connectivity. Airlines routinely re-protect connecting passengers before landing — but only if their system has flagged you, and only they can tell you that.
Special assistance
Wheelchair assistance, unaccompanied minors, medical equipment, oxygen, service animals, allergy arrangements. These are handled through the booking and the airport’s assistance team, and they must be re-arranged when a flight changes. A status app has no involvement in any of it. If a schedule change happens, call and re-confirm the assistance against the new flight.
Baggage
Delayed, damaged, or missing bags are handled by the airline’s baggage service at the arrival airport, with a reference number issued in person or through the airline’s channels. A tracking app can show you which carousel a flight is assigned to. It has no visibility of your individual bag.
Compensation and refund claims
Entitlements are decided against the airline’s own record of the delay and its cause. A screenshot from a third-party app is not the record they adjudicate against, and delay reason codes are usually not published in status feeds at all. Claims go to the airline first, and to the relevant regulator if the airline’s answer is unsatisfactory.
Anything ambiguous where money is at stake
Booking a non-refundable hotel, cancelling an onward train, buying a replacement ticket on another carrier, or paying for a taxi across a city. Do not make those calls on an app’s estimated time. Estimates move. Get the airline to state what they are doing.
What an app is genuinely better at
| Question | App | Airline phone line |
|---|---|---|
| Is the flight late right now? | Fast | Long hold for the same answer |
| Which gate and terminal? | Fast | Slow |
| Which baggage carousel? | Fast | Not usually offered |
| Should I leave for the airport yet? | Good enough | Overkill |
| Is the inbound aircraft running late? | Good | Rarely answered |
| Rebook me | Impossible | The only option |
| Confirm my assistance | Impossible | The only option |
Use the app for monitoring, and treat any change it shows as the trigger to contact the airline — not as the answer.
A practical escalation ladder
- Something changed in the app. Note the new time and status.
- Is the change under an hour with no connection at risk? Keep monitoring. No call needed.
- Delay over two hours, a connection at risk, or a cancellation? Contact the airline immediately, by all available channels at once.
- At the airport already? Join the desk queue while you call. The queue is your backup, the call is your fast path.
- Assistance, a minor travelling alone, or medical needs involved? Call first, always, regardless of the size of the delay.
- After the trip — bags, refunds, compensation? Airline first, in writing, then the regulator.
Why we are explicit about this
Flight Tracker shows status, times, gate, terminal, and baggage information supplied by a third-party flight status provider, and airport weather from a general forecast service. Those sources are reported by airlines and airports, and during heavy disruption they can lag behind what the airline already knows internally. Our data sources page lists exactly which provider supplies which field and how often it refreshes, so you can judge for yourself how much weight to put on any given screen.
We would rather you close the app and pick up the phone at the right moment than trust a status field with a decision it was never designed to carry. For anything time-critical, confirm with your airline.
